 After selecting the content, activities, and determining the location and date, the second phase of event planning begins. This phase involves planning the event's structure, final details, flow, and promotion. While an organizer knows their content, our job is to polish and market the event.

Research suggests that 40% of attendees are influenced to take action after visiting compelling web pages that effectively communicate the event's description and value. Commonly used promotional methods include email campaigns, social media, automated sign-ups, billboards, and direct mail. Delays,  cancellations and no-shows are always a very real threat especially with speakers or entertainers relying on air travel.   Maybe it's due to illness or weather delay with an airline, supposing if they are unable to be at the event, so then what?  Rather than try to brainstorm while in panic mode, we recommend having a strong Plan B to implement if or when there are bumps in the road.  A contingency could be an attendee who will be attending and would be happy to stand up and give a presentation on their material, it could be a visit to a local attraction.  Either way, you need a Plan B to pull out of the hat, and the ability to switch gears relatively quickly and smoothly.

8.   Logistics | Travel | Freight
